How summary reports make the work of shippers easier

A problem many shippers and forwarders face is the need to frequently verify the location of the vehicle carrying out the transport order in order to determine whether the cargo has reached its destination. With the realtime view and access to reports on the CO3 platform, this problem can be solved.

Ad hoc telephone contact is a “location-based” solution which only works well for a relatively low volume of orders. In the case of a large number of handled transports, visibility tools such as the CO3 platform become indispensable for efficient work. It allows all transport orders to be listed in one place with their current location. This significantly increases the comfort of work and makes it easier to verify the status of individual orders.

Platform visibility helps resolve disputes over delays

Often, however, additional data, including archived data, is needed, for example to determine who was responsible for a delay. The reports available as part of the CO3 standard service are useful in obtaining such data, providing a history of a route with a tabular list of GPS positions with a specific date and time. Due to the high accuracy of such documents and the large amount of information they contain, their analysis can be time-consuming. For this reason, CO3 has introduced a complete novelty: a cyclic summary report of order monitoring.

Cyclical transport monitoring report – a way to analyse data faster

The report, in the form of an easy-to-read table, contains information about the orders monitored on the platform which were executed in a given period. Thus, without the need for in-depth analysis, it is possible to determine which orders have been correctly executed.

Order data (to be filled in by the shipper)

The report collates key information on each stop in the order – planned (i.e. places of loading and unloading) and unplanned. For each of them is given:

  • stop address
  • stop planned / actual time of arrival
  • stop planned / actual time of departure
  • stop duration – actual total duration of stop
  • stop status

A special algorithm calculates the status of the stop, which makes it easier to verify the party responsible for any irregularity or delay. There are 4 standstill statuses:

  • early
  • on time
  • delayed (plant)
  • delayed (carrier)

If the status is marked as delayed, we additionally check whether the delay is the fault of the carrier or the principal (place of loading or unloading). In this form, the report will be delivered to the customer’s email without the need for an additional login to the platform!

Periodic report on visibility platform CO3 – customisable

While developing the formula of the cyclical report, CO3 wanted to provide users with an analytical tool to easily identify problematic links in the supply chain. We know that every company is different, so the report parameters can be adjusted individually to the needs of a particular company and to the specifics of its transport orders.

The report can be configured:

  • the periodicity/frequency with which the report is sent;
  • the period of time from which the data are to be collected in the report;
  • users who are to receive the report;
  • the level of access to data (each user can have access to data from selected branches of the firm or from the whole organisation).
